We're serious about keeping your info safe

Last Updated: November 5, 2025

Hey There, Let's Talk Privacy

Look, we get it - nobody really reads these things. But here's the deal: at JadeWyrm Verse Hotel & Suites, we actually care about your privacy. This isn't just legal mumbo-jumbo (okay, some of it is), but we've tried to make it readable. When you book a room, grab a bite at Dragon's Den, or just browse our site, we collect some info. Here's what we do with it, why we do it, and how you can tell us to back off if you want.

We're not gonna lie - running a hotel means we need to know a few things about you. Here's what we typically gather:

Personal Details
  • Your name (obviously, we can't check you in as "that person who likes dragons")
  • Email address and phone number (so we can send confirmations and actually reach you)
  • Mailing address (for billing and the occasional promo if you're into that)
  • Payment info (credit card details - but encrypted, we're not monsters)
  • ID for check-in (it's the law, not us being nosy)
Booking & Stay Preferences
  • Which mythical suite caught your eye
  • Special requests (extra pillows, dietary needs, whether you prefer phoenix or dragon decor)
  • Your stay history with us (helps us make your next visit even better)
  • Feedback and reviews you've shared
Technical Stuff
  • IP address and browser type (standard website tracking)
  • Cookies and similar tech (see our cookie section below)
  • How you navigate our site (what pages you check out, how long you stay)

We're not in the business of hoarding data for fun. Here's what we actually do with your info:

  • Process your reservations - This one's a no-brainer. Can't book you a suite if we don't know who you are.
  • Send booking confirmations and updates - You'll wanna know when your Dragon's Lair suite is ready, right?
  • Improve our services - Your feedback helps us figure out what's working and what needs some mythical magic.
  • Personalize your experience - If you loved the Phoenix suite last time, we might suggest similar options.
  • Handle billing and payments - Money stuff, basically. All secure, all legit.
  • Send marketing emails - But ONLY if you've said it's cool. We hate spam as much as you do.
  • Comply with legal requirements - Sometimes the government makes us keep records. We're not thrilled about it either.
  • Keep things secure - Fraud prevention, safety protocols, all that important stuff.

Okay, let's demystify cookies (the digital kind, not the chocolate chip ones from Dragon's Den).

What Are Cookies Anyway?

They're tiny files that live on your browser and remember stuff about your visit. Like that you prefer dark mode or that you were checking out the Unicorn suite.

Types We Use:
Essential Cookies

The ones that keep the site actually working. You can't really turn these off without breaking everything.

  • Shopping cart memory
  • Login sessions
  • Security features
Analytics Cookies

Help us understand what people actually do on our site. Anonymous data, mostly.

  • Page views and bounce rates
  • Popular pages and features
  • User journey mapping
Marketing Cookies

These show you relevant ads around the web. You can totally opt out of these.

  • Retargeting campaigns
  • Social media integration
  • Personalized offers
Manage Your Cookies: Most browsers let you block or delete cookies. Just know that it might make our site a bit clunky to use.

We're not selling your data to random companies, promise. But we do need to share some info with specific partners to keep things running:

  • Payment Processors - Like Stripe or PayPal. They need your card info to actually charge you (but they never see your full details, it's all tokenized).
  • Email Service Providers - So we can send you confirmations and updates without our server melting.
  • Booking Partners - If you booked through a third party site, they already have your info anyway.
  • Cloud Storage Providers - Where we keep everything backed up and secure (think AWS or similar).
  • Legal Authorities - If we're legally required to hand over info (court orders, investigations, etc). We'll fight it if it seems sketchy.
  • Service Contractors - Cleaning, maintenance, catering - anyone who needs to know you're in Room 307 to deliver your breakfast.
Important: All our partners are bound by strict confidentiality agreements. They can't use your data for their own purposes.

Security's kinda our thing. Here's what we do to keep your data locked down tighter than a dragon's treasure hoard:

Encryption

SSL/TLS encryption for all data transmission. Your info's scrambled in transit so nobody can intercept it.

Secure Servers

Industry-standard firewalls and intrusion detection systems. Our servers are locked down 24/7.

Limited Access

Only authorized staff can access guest data, and only when they actually need it.

Regular Audits

We test our security regularly and update systems to stay ahead of threats.

Real Talk: No system is 100% unhackable. But we're doing everything humanly (and technologically) possible to keep your data safe.

It's your data, and you've got rights. Here's what you can do:

  • Access Your Data - Request a copy of everything we have on you. We'll send it over in a readable format.
  • Correct Inaccuracies - If we've got your name spelled wrong or outdated info, let us know and we'll fix it.
  • Delete Your Data - Want us to wipe everything? We can do that (unless we're legally required to keep it).
  • Restrict Processing - Tell us to stop using your data for certain things (like marketing).
  • Data Portability - Take your data to another hotel. We'll give you everything in a transferable format.
  • Opt Out of Marketing - Every email we send has an unsubscribe button. One click and you're done.
  • Lodge a Complaint - Think we've messed up? You can file a complaint with the Canadian Privacy Commissioner.
Exercise Your Rights

To make any of these requests, just shoot us an email at reservations@jadewyrmverse.info with "Privacy Request" in the subject line.

We'll get back to you within 30 days (usually way faster).

We don't hoard data forever like some digital dragon. Here's our retention policy:

Booking Records 7 years (tax law requirement, not our choice)
Marketing Preferences Until you tell us to stop
Website Analytics 26 months max
Email Communications 3 years after last contact
CCTV Footage 30 days (security purposes)
Account Data Until you delete your account, then 30 days

After these periods, we either delete it or anonymize it so it can't be traced back to you.
